New Participants


I want to commence sessions with Ultimate Training. What do I have to do to start?


New participants must fill out and submit the 3 page 'New Participant form'.

The form must be completed in full to commence using any of Ultimate Training’s services and can be found under the 'CONTACT' page of the website.

The form can be submitted in paper form and surrendered to the trainer on your first session or filled out and submitted electronically via email.





Session Payment and Prepayment


Can I prepay only select sessions within a month?


Participants are able to choose the sessions they can attend and prepay for only the sessions they will be attending.

All selected sessions and dates being prepaid for must be communicated to your trainer when prepayment is being made.




If I prepay monthly, do I get cheaper sessions?


By prepaying (where applicable) for selected sessions for the upcoming month, participants can lock in a cheaper session price compared to the casual rate.

Do I need to pre-register and prepay for Ultimate Training Events?


All of Ultimate Training's Events require pre-registration and prepayment.

All details on Events and how to register can be found on the 'Program' page of the website.

All Events requiring prepayment must be prepaid by the due date which will always be indicated on the 'Program' page of the website closer to the event date.

If prepayment is not made by the due date, participants risk paying more for events or not attending due to being sold out.




Where can I find the Ultimate Trainings account details to transfer funds for a prepayment?


Ultimate Trainings EFT details can be found on the bottom left hand corner of the current timetable.




What do I need to do when electronically transferring funds for session prepayment?


Step 1 - Carefully select sessions and dates you are wanting to attend and work out the total prepayment amount for the month. Participants can select to prepay for only the sessions they can make/will be attending.


Please note that Ultimate Training will not swap, credit or transfer pre-selected session prepayments.


Step 2 - Transfer the total amount including name/initials of the participant and sessions being paid for in the transaction description.


Step 3 - Confirm prepayment with trainer via sms or email including the total transaction amount and break down of the chosen sessions. Please note that prepayments will remain pending until funds have cleared. Once cleared, the trainer will update their attendance sheets with your payment made.




When is next month's pre-payment due by?


The deadline for prepayment is the last day of the month prior to the one being paid for. Ultimate Training will not accept any prepayments after the due date.

If the due date is missed, participants will have to pay the casual rate for the remainder of the month.




Can I still prepay after the pre-payment due date?


No prepayments will be accepted on the 1st day of the new month onwards and the casual rate will apply for the remaining of the month (unless the current timetable indicates a later due date for payment).




What forms of payment will Ultimate Training accept?


Ultimate Training accepts:

- Cash (Casual on the day or Prepayment to trainer)

- EFT (electronic funds transfer) into the Ultimate Training bank account.

Ultimate Training will not accept any prepayments after the due date.

Bank account details can be found on the current timetable and the 'Timetable' page.




What do I need to do if pre-paying for sessions with cash?


Write your full name and the dates and sessions you are prepaying on a sealed envelope containing the exact money and surrender it to the trainer prior to a session.

Prepayments are required by the due date as Ultimate Training will not accept any type of prepayment after the due date.




When do I need to confirm my attendance?


Confirmation is required for all sessions that are being attended casually.

For participants that have prepaid, confirmation of attendance is not required.

Prepaid participants must confirm non-attendance at least one hour prior session commencement.

Confirmation can be made by sms or phone call/voice mail at least two hours prior to the commencement of each session.

Confirmation of attendance will assist Ultimate Training in ensuring all sessions are well organised and of high quality.




Can I confirm on behalf of a small group of participants that will be attending with me or does each participant need to confirm individually?


Confirmation of casual attendance can be for a single participant confirmation or a multiple participant confirmation in the one confirmation message.

This can be done via sms or phone call/voice mail.




For outdoor evening sessions at The Lake (Edwardes Lake), all car parking and street parking is full. Where does Ultimate Training recommend participants to park?


During peak season (Daylight savings), parking can be very difficult in the evenings at Edwardes Lake. Ultimate Training recommends arriving at least 15minutes prior to session commencement.

Evening participants having difficulty in finding parking near the normal meet point are urged to park on Leamington St, Reservoir. There is a Scout Hall car park as well as off street parking in front of the Skate Park (near Lawn Bowls Club).

Participants can walk through the park to the normal meet point.




Is it okay if I turn up late to a session?


All participants are encouraged to arrive early for each session and must not disrupt the instructor or other participants if arriving late.

If running late, participants must inform the trainer prior to the commencement of the session.

A participant's lateness can have a huge impact on the quality of a session, this is why it is important to respect the participants and the instructor by arriving early.

Participants that are consistently late are asked to reconsider priorities and even change to a session where they are able to arrive on time.




If I have prepaid a session and do not show up to it, do I get a refund or credit?


Participants have great flexibility in selecting the sessions they wish to attend.

Ultimate Training will not swap, credited or transfer preselected session prepayments under any circumstances.

Prepayments are not transferable between participants.




Does Ultimate training cancel sessions in extreme weather conditions?


Sessions run all year round in any type of weather including very hot days (over 35⁰C).

Exercises and drills within these sessions will always be adjusted to compensate for the temperature and conditions on the day.

Outdoor sessions are highly likely to be cancelled in the event of consistent heavy rain, thunder/lightning or flooding.




If I have prepaid for a session, and cannot handle the heat, can I get a refund or credit?


In the event a participant cannot handle the weather conditions on the day (over 35⁰C), the participant should not attend.

Participants who have prepaid and are not attending a session due to the heat must confirm their non-attendance.

Confirmation of non-attendance must be made to the trainer at least one hour prior to the session's commencement.

If the participant confirms non-attendance prior to the prepaid session, a credit will be organised for another session.




How will I find out if Ultimate training either cancels or relocates a session due to weather conditions?


Prepaid participants:
If a session is cancelled due to weather, all prepaid participants will be informed of the cancellation via sms at least one hour prior to session commencement and will be credited for another session.

If a session is relocated due to weather, all prepaid participants will be informed of the relocation details via sms at least one hour prior to session commencement. No credit will be made for a relocation change.


Casual participants:
If a session is cancelled or relocated due to weather, any casual participants that have attended the session within eight weeks prior will be informed of the cancellation or relocation details via sms at least one hour prior to session commencement.


Casual participants will not be informed of a cancellation or relocation if they have not confirmed their attendance on the day or have not attended the session in the eight weeks prior.
